Tony Oakley was appointed a Notary Public in 1992. He is a Fellow of the Australia and New Zealand College of Notaries and a Fellow of the Society of Notaries of Victoria (Inc). Tony Oakley was also appointed and enrolled under the Public Notaries Act 2000 of the State of Victoria.

Notarial Services:

If you need the services of a Public Notary please have the following information available when you telephone, fax or email for an appointment:

  • Full name, address and contact telephone number
  • Description of document
  • Name of country requiring the document
  • Number of people to attend and sign
  • Number of copies of document to be signed or certified
  • Company details if a company is involved. This may include production of company constitution, preparation of a statutory declaration by director or the attendance of directors to sign on behalf of the company. Sometimes the company seal may also be required.
  • Whether a certificate is provided on the document. Usually the certificate is prepared by us. The type of certificate may vary depending on the circumstances.
  • Whether a copy of the document can be faxed to us with a copy of any covering letter from your local or overseas lawyers, patent attorneys, government department or commercial associates.
  • Details of available identification including Australian or overseas passport. overseas identity card if applicable or Victorian driving licence. Identification should be current for all signatories.
  • If a certificate is required please advise how the person will sign e.g. "J. Smith, John Smith, John P. Smith, John Paul Smith, etc."

    Costs:

    It is impossible for us to estimate costs without seeing the documents and having background information provided. Our costs can usually be estimated after we see the documents and obtain information set out above. If you can fax copy documents to us and telephone us with background information we can usually estimate costs so that you can instruct us to proceed based on a proper estimate of costs.

    The Society of Notaries of Victoria (Inc) has a scale of fees set out below.* Any additional work which is not covered by the scale of fees will be charged under the Practitioners Remuneration Order which applies to lawyers in Victoria.

    Some typical costs might be :

    Certifying copy single document $77.00 inc. GST
    Witnessing signing of document without certificate $110.00 inc GST
    Witnessing signing of single document with certificate $165.00 inc GST
    Additional copies - add half fee per extra copy  
    Additional parties - add half fee per extra copy  

    Complex commercial matters : More complex commercial matters usually involve multiplecopies of documents for patent applications or company incorporations and could be from $250.00 upwards depending on country, time involved, type of documents, number of copies, number of signatories and urgency.

    Lengthy attendances: Attendances for video conferences, etc, will be charged per half day plus travelling

    Out of pocket expenses: Fees on company searches and other out of pocket expenses will be charged.

    Appointments:

    Normally if we have documents in advance only one appointment is necessary. We usually prepare any necessary certificates before your appointment. This is more efficient for you, much faster and less expensive, because only one appointment is required.

    The Notarial Register is completed after the appointment. This also saves you time. Allow half an hour for your appointment and longer if multiple parties and documents are involved.

    Department of Foreign Affairs and Trade:

    Details of the fees charged by the Department of Foreign Affairs and Trade are available from their website, www.victoria.dfat.gov.au/legal. Please note the location of the Melbourne office and the usual office hours.

    Other Embassies and Consulates:

    Other fees vary for each country. Telephone inquiries will usually be answered without delay by the respective Embassies and consular offices.

    Interpretation and Translation:

    In some circumstances interpretation may be required. Similarly an official translation of written documents may be needed. Please advise us if any document is in a language other than English and if the person signing is not literate in English and the language of the document.

    Attendances out of office:

    These can be arranged by prior appointment.

    Copying :

    We have facilities for black and white copying to A4. In some circumstances larger documents can be reduced in size to A4. The reduction in size will be noted on any certificate attached to a copy.

    Naturally you must produce the original document for examination by us even if you have arranged your own copying.
